Managing visitors and visitors in the Business Network application.

Visitors Overview

Visitors are visitors who attend meetings but are not yet members of your business network. This section explains how to manage visitors, track their attendance, and process their payments.

Visitor Management

Adding a Visitor

There are two ways to add visitors to your system:

Method 1: Adding a Visitor to a Specific Meeting

  1. Navigate to the meeting details page
  2. Click the "Add Visitor" button
  3. Fill in the visitor details:
    • Name
    • Email
    • Mobile
    • Fee Status (Paid/Unpaid)
    • Invited By (select a member)
    • Notes
  4. Click "Add Visitor" to register the visitor for the meeting

Method 2: Adding a Visitor Directly

  1. Navigate to the Visitors section from the sidebar
  2. Click the "Add Visitor" button
  3. Fill in the visitor details
  4. Select the meeting they will attend
  5. Click "Save" to create the visitor

Viewing Visitor Details

To view a visitor's details, click on their name in the visitors list. The visitor profile page shows:

  • Personal information
  • Meeting they're attending
  • Payment status
  • Attendance status
  • Who invited them

Managing Visitor Attendance

Marking Visitors as Present

  1. Navigate to the Visitors section or the specific meeting page
  2. Find the visitor in the list
  3. Click "Mark Present" in the Actions column

Note: Once a visitor is marked as present, this action cannot be undone.

Payment Processing

Visitor Fee Payment

When a visitor registers for a meeting with a fee, they are redirected to an upload receipt page where they can:

  1. Upload a screenshot of their payment
  2. Add remarks (transaction ID, UPI reference, etc.)
  3. Submit for verification

The superuser can then review and approve/reject the payment from the Payments section in the dashboard. Alternatively, the superuser can directly toggle the fee status (Paid/Unpaid) from the meeting detail page.

Converting Visitors to Members

When a visitor decides to join your network, you can convert them to a member:

  1. Navigate to the visitor details page
  2. Click the "Convert to Member" button
  3. Fill in any additional required member information
  4. Select a membership plan
  5. Process the membership payment
  6. Click "Convert" to complete the process

Tip: Converting a visitor to a member will transfer all their information automatically, saving you time on data entry.

Visitor Reports

The system provides several reports related to visitors:

  • Visitors by meeting
  • Visitors by inviting member
  • Conversion rate (visitors to members)
  • Payment status summary
